Establish a systematic approach, navigating and focusing on key aspects. While larger teams can distribute focus, individuals face the challenge of discerning significant opportunities within their workload. Key Performance Indicators (KPIs) are essential, but the emphasis should be on prioritizing them effectively.
- Relate: Delegating responsibilities is vital. Clearly identify the person or system responsible, acknowledging that one cannot handle everything alone. While some tasks may be self-assigned, it’s crucial to evaluate if working beyond one’s capacity is sustainable. The book “The Coaching Habit” advocates asking meaningful questions, a skill pivotal for successful individuals. Determine who you need to relate information to for effective communication.
- Educate: Continuous education is key for leaders and successful individuals. The ability to educate oneself through books, conversations, and learning is crucial. Acknowledging that you don’t know everything puts you in a better position. Educate yourself on potential solutions and understand the nature of the problems you encounter.
- Empower: Empowerment is more than assigning responsibilities; it involves trust and support. Trust individuals to complete tasks and encourage them to approach you with any issues. For those working alone, self-empowerment is essential, sometimes requiring the ability to say no. Asking the right questions is integral to empowerment.
- Define: Clearly define what success looks like and what the solution entails. Misalignment can arise if criteria for success are not defined. While it may be challenging to know exactly how success looks, asking the right questions helps in finding the answers.
- Optimize: Optimize the resources currently at your disposal—money, personnel, systems, technology. Efficiently utilize these resources to maximize output. Evaluate the potential value of adding new resources in terms of cost and benefits. Ensure any expenditure aligns with the goal of improvement.
- Maximize: Before adding new resources, evaluate whether the cost justifies the benefits. Will it make the organization bigger, better, or faster? Many individuals take action on the wrong things or neglect the correct ones. Perfection is unattainable, but learning from mistakes reduces the time spent on incorrect actions.
